About the Role

The Tennessee Innocence Project (TIP) seeks a reliable and organized Office Assistant to provide essential operational support to our Memphis office. This part-time role is perfect for someone who values meaningful work and wants to contribute to our mission of freeing the wrongfully convicted while maintaining smooth daily operations for our legal team.

Job Responsibilities

Daily Operations & Office Management

  • Organize and assist in the managing of the daily operations and administrative tasks required to support the Tennessee Innocence Project’s Memphis office
  • Efficiently manage office correspondence, including coordination of incoming and outgoing mail; ensure timely routing to staff and responses to clients.
  • Maintain a productive workspace by overseeing the upkeep of shared areas and maintaining an organized workspace for all.
  • Maintain upkeep of shared office equipment including tracking, replenishing and monitoring office supply levels. 
  • Maintain organized TIP merchandise inventory, assist with packaging and fulfilling orders and merchandise packing.
  • Keep office operations running smoothly through day‑to‑day administrative support, including welcoming visitors, preparing documents and briefs, and meeting materials for use and/or distribution.

Administrative Support

  • Facilitate personalized correspondence, coordinating birthday greetings and scheduled mailings for exonerees, clients, and staff.
  • Support the Development Team’s donor‑stewardship correspondence, preparing and sending acknowledgment cards to Memphis‑area supporters.
  • Assist with event logistics, including venue prep, merchandise display, promotional materials, and post‑event breakdown.  
  • Serve as the first point of contact for Memphis staff on routine operational and technology questions, escalating complex issues to Nashville leadership when needed.
  • Provide light document services—copying, scanning, and printing—to keep casework and administrative tasks moving efficiently.
  • Coordinate occasional local pickups and drop‑offs—managing supply runs and receipt of UPS/FedEx shipments and keeping office logistics on track.

General Administrative Support

  • Serve as the primary operations contact for the Memphis office, ensuring seamless administrative support for the team.
  • Act as a friendly, front‑facing representative of the organization, greeting visitors, answering phones, and conveying our mission with professionalism and warmth.
  • Provide flexible assistance on special projects and initiatives as assigned, adapting quickly to evolving team needs

Qualifications

Required:

  • High school diploma or equivalent
  • Strong organizational and communication skills
  • Reliable transportation for office errands
  • Comfortable with basic technology troubleshooting

Preferred:

  • Previous administrative or office support experience
  • Experience with basic facilities coordination
  • Experience with inventory management
  • Comfort with technology troubleshooting
